There is a question we like to ask business owners in a first meeting: "What is today's date — and do you have last month's report yet?" The usual answer is the 25th, and... no. A report that arrives 25 days late is a report for the archive, not for decisions.
At 3M, clients typically receive a complete monthly report within 7–10 working days of month-end. Not because we hire more accountants than everyone else, but because we divide the work differently: machines do the repetitive part, humans do the judgment part. Here is the actual process, day by day.
Days 1–2: Automated collection and posting
Our Practica platform connects to the client's data sources: incoming and outgoing e-invoices synced from the tax authority, bank statements, and sales data from POS systems and e-commerce platforms.
- The AI reads each invoice and document and proposes the journal entry: account, expense category, counterparty, VAT rate.
- Recurring transactions (office rent, payroll, subscriptions) post straight through under rules pre-approved by the chief accountant.
- Actual result across our client base: over 90% of journal entries are posted automatically, most within minutes of the document appearing.
One thing matters more than the percentage: the AI is never allowed to edit the ledger silently. Every entry — machine-made or human-made — is written to an append-only audit trail: who created it, when, from which source document, who approved it. Correcting an entry creates a new adjusting entry; nothing is erased. When an auditor or a tax officer asks "where did this number come from," the answer is one click away.
Days 3–4: Humans work the exception queue
The remaining 10% or so is what the machine is not confident about — and this is where the accounting profession earns its keep:
- Invoices that deviate from history (a new supplier, an unusually large amount);
- Transactions that need judgment about substance: prepaid expense or current expense, director loan or revenue;
- Missing documents, or mismatches between invoice and cash received.
The accountant in charge clears each item in the queue, and every human decision is remembered by the system as a rule — the same transaction type posts itself next month. The automation rate climbs over time instead of standing still.
Days 5–6: Reconciliation and the expert review
- Reconcile bank balances, receivables, payables and inventory;
- Run an automated battery of over 60 checks: VAT gaps between declaration and ledger, expenses without invoices, abnormal negative balances and more;
- A 3M expert — not a model — reviews the full close, books the final closing entries (allocations, accruals, FX revaluation) and signs the report. Legal professional responsibility always rests with a human expert. That is a non-negotiable at our firm.
Days 7–10: Delivery — with the "so what"
The client receives, on the portal: balance sheet, P&L, cash flow, receivables and inventory detail — plus a short commentary from the accountant in charge: why gross margin moved 3 percentage points versus last month, which receivable is about to pass 60 days, and how much tax is due next period and when.
